What You'll Do

Summary:

The Administrative Assistant V provides high-level assistance to the Senior VP of Graduate Medical Education for Novant Health/SEAHEC Executive Director along with the Directors of SEAHEC, as well as supports the SEAHEC Education Committee (and associated subcommittees). Duties include leading daily office operations, preparing a variety of confidential financial and operational documents, meeting minutes for monthly meetings, project management, and maintaining official corporate records. Also includes assisting with communication, schedules, logistics, organization systems, and personnel processing.


Responsibilities:

1.Provide primary high-level administrative support to the Senior VP of Graduate Medical Education for Novant Health/SEAHEC Executive Director, SEAHEC Education Committee, along with the SEAHEC Directors and other members of the SEAHEC, NH-NHRMC, and Novant Health Teams.

2.Compose and prepare highly confidential financial and operational documents, reports, and projects, not limited to P-card reconciliation for Senior VP of GME and Director of GM, and processing of monthly GME physician timesheets. This position requires strict discretion regarding corporate records, transactions, and work in progress.

3.Daily oversight of SEAHEC administration.

4.Management of building contracts, as well as collaboration with ancillary vendors for materials and/or services.

5.Daily extensive calendar management and meeting coordination for the Senior VP of GME for Novant/SEAHEC Executive Director and other members of the SEAHEC Team.

6.Assist with communications between the other NC AHEC offices and Senior Leadership.

7.Assist with communications between NC AHEC/SEAHEC, UNC SOM, Novant Health, and NH-NHRMC.

8.Create and maintain various databases, electronic filing systems, spreadsheets, and presentations. Also manage time and attendance records in WFM for SEAHEC Leadership and act as timekeeper delegate for various Directors, as needed.

9.Coordinate travel logistics for Executive staff as well as visitors from UNC Chapel Hill, NC AHEC, and Novant Health.

10.Coordinate meeting facilities and classrooms, as well as routine office related functions and execution of administrative policies. Manage calendars for the SEAHEC classrooms, offices and SEAHEC vehicles. In addition, work with Safety, Plant Ops, and Fiscal Management to get new employees set-up as approved drivers for the organization.

11.Maintain approved budget records, including but not limited to processing of invoices and paymentrequests, expense reporting, and creating and managing purchase requisitions.

Other information:

1.Education: High School Diploma required. Bachelor’s degree preferred.

2.Licensure / Certifications: None Required.

3.Experience: * Minimum five (5) years of experience in an Administrative or Executive Assistant capacity. Healthcare experience preferred.

4.Essential Technical/Motor Skills:Demonstrates knowledge in associated computer programs, including Word, Excel, PowerPoint, Outlook, SharePoint and Zoom, as well as standard office equipment.

5.Interpersonal Skills: Establishes and maintains effective working relationships and resolves conflict from a positive viewpoint, in addition to excellent written communication skills.

6.Essential Physical Requirements:Position requires full range of body motion, manual dexterity and eye-hand coordination; frequent mobility and/or sitting for extended periods of time with some bending and stooping; occasional lifting up to 25 pounds of boxes or paper; manual dexterity to operate office equipment; working in an office environment with both desk and counter work.

7.Essential Mental Abilities:Demonstration of high level competency in planning and organizing, problem solving, adaptability, dependability, corporate knowledge, multitasking, and confidentiality.

8.Essential Sensory Requirements:Ability to see, hear, speak and be understood by others. Valid NC Driver’s License.

Hours of Work: 40hours per week

Demonstrates standards of performance (ownership, teamwork, communication, compassion) that support patient satisfaction and principles of service excellence. Performs other duties as assigned. Individual will possess commensurate combination of education, experience and qualifications.
