Works under the supervision of the Director and may support multiple departments. Performs a diverse variety of administrative duties using discretion, independent judgment, and senior level clerical skills to ensure outcomes that are consistent with accepted business practice.
1.Performs routine and confidential clerical duties as assigned.
2.Using independent judgment and discretion as required, provides assistance and performs duties for supervisor to ensure department/function operates in an efficient, cost-effective manner.
3.Responds appropriately using discretion and independent judgment to a wide variety of requests from internal and external customers, in writing or verbally as required to ensure consistent and efficient operation of department/function.
4.Attends meetings/committee sessions and ensures accurate recording/transcription of same.
5.Appropriately communicates information in accordance with hospital policies and procedures.
6.Oversees a variety of department manuals and ensures accuracy of same.
7.Schedules and coordinates Mandatory Education for department personnel.
8.Interacts with customers and other contacts in a professional manner, responding as directed either orally or in writing.
9.Maintains routine department/function (reports, minutes, manuals), ensuring accuracy and timeliness of data.
10.Ensures recordkeeping and filing systems for department/function are maintained to provide prompt retrieval and confidentiality of data as required.
11.Orders supplies and ensures adequate stock of materials needed for smooth operation of department/function.
12.Resource person for network computer systems, departmental programs and their applications.
13.Contacts with a variety of internal and external customers using professionalism and tact to ensure a positive image of department/function is conveyed.
14.As directed, types, files, and updates department/function manuals, minutes or other data ensuring accurate up-to-date information.
15.Utilizes computer for a variety of applications and scheduling activities.
16.Performs filing and other requisite timekeeping to ensure timely retrieval of same.
17.Organizes and performs work effectively and efficiently.
18.Maintains and adjusts schedule to enhance team performance.
19.Continues personal development to enhance personal growth on an annual basis.
