Overview

Summary:
Responsible for all daily operations of the office, including physician and provider scheduling, nursing management. laboratory and radiology testing, diagnostic testing, medical records and transcription, patient flow, patient satisfaction, accounts receivable and cash management, personnel management and development, staff scheduling and all systems support.

 

Responsibilities:
Responsibility I: NHRMC Standards of Performance

3. Communication – acknowledge patients and co-workers, listen attentively while maintaining eye contact and speaking to them directly and respectfully

Responsibility II: Daily Operations

• Demonstrate competence in practice leadership, communication and professionalism by following and administering established NHRMC PG policies.
• Communicate daily with physicians, mid-level providers, supervisors, staff and other NHRMC PG entities, as appropriate, in order to develop effective relationships and create an environment of trust, respect and professionalism.
• Serve as a management team representative and resource for patients, office staff, physicians, clients, vendors and NHRMC PG management.
• Manage facility by improving utilization and maintaining operational efficiency.
• Promote the financial viability of the practice by effectively managing financial goals.

Responsibility III: Support
• Trained in all Practice Management front-end operations to include scheduling and EMR where applicable
• Provides support (answering phones, scheduling, patient flow, medical manager, medical records, Etc.) to all front-end operations when needed at the discretion of the Director, NHRMC Physician Group
• Trained in entering charges and authorization information into the system
• Provides support to clinical staff by ensuring proper staffing and supplies are available
• Coordinates marketing of practices, including involvement in community events to ensure practice growth
• All other duties assigned by Practice Administrator

Responsibility IV: Communication
• Interview, hire, train and support all employees for perspective Site
• Performs employee performance appraisals on time
• Reviews employee discipline procedures with documentation according to NHRMC Physician Group policy and laws and guidelines with Director.
• Monitors and tracks employee hours: tardiness, overtime, unscheduled PTO, PTO and review with Director
• Address all employee questions and concerns in a timely manner

Responsibility V: Employee Relations
• Interview, hire, train and support all employees in perspective Site(s)
• Performs employee performance appraisals on time
• Reviews employee discipline procedures with documentation according to NHRMC Physician Group policy and laws and guidelines with Director.
• Monitors and tracks employee hours: tardiness, overtime, unscheduled PTO, PTO and review with Director
• Approves payroll for employees
• Address all employee questions and concerns in a timely manner
• Ensures that all staff and Physician clinical credentials are up to date

Responsibility VI: Patient Relations
• Demonstrates regard for the dignity and respect of all patients, family members, visitors, and New Hanover personnel as defined in the philosophy of NHRMC Physician Group
• Displays a caring and courteous attitude and represents NHRMC Physician Group in a positive manner.
• Promotes and contributes positively to intra-departmental and inter-departmental relationships with no more than two complaints in a six-month period
• Maintains the confidentiality of patients, employees and departmental information with no infractions
• Adheres to departmental and organizational dress codes as observed by manager and wears picture identification badge, 100% of the time
• Demonstrates a high level of mental and emotional tolerance and even temperament when dealing with people, uses tact, sensitivity and sound judgment at all times.







General Practice Duties
• Must have physical exam and annual TB skin testing
• PHI – refrain from discussing Patient Health Information in public in accordance with HIPAA guidelines and policies
• Ability and flexibility to cover various medical offices when needed
• Responsible for learning and applying information on all insurance plans, correctly identifying and entering FSC in IDX system
• Assists in training other staff as needed and is willing to cross train
• Performs cash management protocols as assigned
• Adheres to company policy on continuing education programs, i.e. Annual HIPAA training
• Adheres to departmental dress codes as observed by director and wears picture identification badge, 100% of the time.

Other information:
Education: BA of Healthcare Administration or Business required, or 10+ years of relevant Healthcare Management experience
Licensure / Certifications: None required
Experience: At least 5 years medical office experience, knowledge of ICD-0, CPT and HCPCS coding preferred.
Demonstrates standards of performance (ownership, teamwork, communication, compassion) that support patient satisfaction and principles of service excellence.
Performs other duties as assigned.
