This position performs all staffing and scheduling functions including placement of Staffing Office employees through the use of Time and Staffing system to ensure the most efficient allocation of available Staffing Office staff. Responsibilities:
Essential Functions • Communication: Reviews and advises next shift coordinator(s) regarding current and future staffing needs, as well as any pending issues and/or items needing attention or resolution. Promotes and maintains professional and courteous relationship with all Leadership, Administrative Supervisors, Unit Supervisors, and Charge Nurses, thru open communication and prompt resolution to staffing issues. Assists the Staffing Office’s management team with the coordination of communications with float staff pool, other directives, and/or other departments involving operational, educational, or staffing issues. Maintains communication with patient care units regarding staffing conditions and needs for additional staff. • Scheduling: Prepares accurate and timely schedules. Promotes balanced schedules based on system needs and staff availability. Understands and effectively articulates the utilization of Time and Staffing principles, along with productivity data, and unit criteria used for hospital and system resource deployment. Works with nurse managers related to scheduling system needs. • Staffing/Placement: Effectively deploys correct staff to proper units based on skills/qualifications. Oversees all placement and movement of float staff. Facilitates staffing by communication with the staff to determine availability. Cooperates with Patient Flow Coordinators or Administrative Supervisors regarding the needs and possible core staff movement of each facility. Maintains daily contact with department leaders, managers, and supervisor regarding staffing issues. Communicates staff compliance issues to management team. Recognizes and responds timely and appropriately to staffing issues and problems. Seeks appropriate advice, feedback and guidance on issues outside the scope of job knowledge and duties from Staffing Resource management. Demonstrates ability to forecast staffing shortages across the system utilizing house coverage report and assign appropriate staff based on critical need. Ensures correct placement of assigned staff to proper Cost Center and Division within Time and Staffing. Ensures proper deployment of direct placement staff based on staffing shortages and critical need. • Time and Staffing/API: Assures accurate posting to Time and Staffing, upon completion of staffing transactions, to insure proper Cost Center/Division charges are applied for payroll activities and report generation accuracy. Notifies Staffing Office’s management team of issues and problems relating to Cost Center issues. Responsible for accurate and timely maintenance for upkeep of float staff pool personnel staffing roster. Assures that schedules are maintained for the clinical staff. Communicates with/to float staff to request schedule compliance and notifies management team if noncompliance occurs through reports (as working tools) for demonstration of noncompliance of float staff. Creates appropriate reports from Time and Staffing and other database reports in order to facilitate efficient staffing practices. Independently, efficiently and accurately demonstrates all technical staffing functions in Time and Staffing with minimal support. Provides troubleshooting, training, re-orientation and other help support to peers as necessary. Acts as a resource for personnel by providing guidance and advice on techniques and methods. • Function System Administrator: Maintains and updates the systems to continue to meet data tracking needs. Manages day-to-day operations of the clinical contract labor invoicing process to include, but not limited to, the following: Follows up with nurse managers and directors to ensure that invoices are processed in a timely manner; works with clinical contract labor vendors to ensure that the organization is being billed in a timely and accurate manner. Works with accounts payable and internal audit departments to ensure compliance with organizational and regulatory body policies for contract labor. • Service: Maintains high level of customer satisfaction: Leads Team in exceeding customer expectations at all times. Satisfaction surveys exceed expectations. Achieves or exceeds in customer service with phone skills. Complies with and helps develop organizational and departmental policies, procedures, and protocols. |

High School or GED Required Preferred Two years of college or secretarial science degree preferred. A combination of education and experience with advanced computer skills required. Licensure/Certification Type (ex NP, RN, CMA) Required/Preferred Additional Skills/Requirements (required) • Demonstrates proficiency with word processing, spreadsheet skills, PowerPoint and other Microsoft Office applications. Must be able to secure and maintain private and confidential information. Requires excellent ability to effectively communicate with hospital staff and ability to successfully complete generic and department-specific skills validation and competency testing. Working knowledge of Time and Staffing preferred (scheduler or staffer experience preferred). Must be detail oriented. Must have the ability to work independently with minimal direct supervision. Ability to analyze and problem solve. |
