Provides and coordinates administrative and clerical support to department or service line. Responsibilities:
Essential Functions • Office Support/Administrative: Receptionist for the department. Answers telephone and relays messages in a professional manner. Schedules rooms for meetings. Types, copies and distributes correspondence and other documents. Picks up and delivers mail. Prepares correspondence for Manager. Performs medical office and computer skills. Orders and purchases approved supplies as needed. Maintains files. Oversee performance of reception duties, answering telephones, administrative and secretarial support to department. Helps to train staff and be a resource person when needed. Handle any workload issues as needed in the absence of the manager. • Financial: If Applicable: Performs billing specialist duties. Complies with and supports organizational and department policies and procedures. Maintains and demonstrates professional competency according to department policy, procedure and protocol. Performs quality control for review of billing input. Reviews budget variance reports to ensure accuracy and works to resolve any inconsistencies. • Statistics: If Applicable: Compiles daily statistics. Reports productivity minutes bi-weekly. Prepares month-end minutes/cases to the Finance Department and/or appointed departmental financial representative. • Human Resources Function Support: If Applicable: Works in Active Staffer to print reports and monitor staffing patterns for the department. Proactively supports scheduling and completion of annual performance review process, including institutional and regulatory requirements (such as TB testing, licenses and others). Provides Feedback in supervisory role when necessary. • Human Experience: Show courage through creating and sharing innovative ideas to improve the experience for both patients and peers. Round on patients to create meaningful connections and keep patients informed of visit details (delays/wait times). Model the experience principles through consistently engaging in Always Event behaviors and viewing feedback through the patient lens. Recognize and value the unique differences and similarities in both our team members and patients to create an inclusive environment where diversity is celebrated. Explain all processes to patients in plain language and utilize teach back to ensure understanding. Know and model the mission, vision and values, and how they relate to role-specific responsibilities. Education: High School or GED required Experience: Minimum of two years successful experience in interacting with the public required. One year experience in a healthcare environment preferred.
