•Case finding: Analyzes pathology reports, ICD-9 and ICD-10 lists from various sources (HIM Department, Radiation Oncology, Medical Oncology) to determine case eligibility and flag cases for the suspense system; requests/pull medical records and transports cases to the department for review.

• Abstracting: Analyzes patient information required for state and national reporting and codes the information in the electronic data base utilizing the required coding sources: ICD0-3, Standards for Oncology Registry Entry, AJCC TNM Staging, SEER Summary Staging, Solid Tumor Rules, State Cancer Collection & Reporting Manual.

• Staging forms: Follows department procedures for the monitoring of physicians staging from the hospital EMR.

• Data entry: Enters the required patient information accurately meeting the data edit standards for the National Cancer Data Base and the State Central Cancer Registry and in a timely manner meeting the NCD standards of within 6 months of patient contact.

• Follow-up: Analyzes patient encounters from medical record sources (electronic or hard copy) for subsequent treatment, recurrences, patient status, and current date of contact. Conducts monthly patient follow-up through letters or phone calls to physicians or hospitals. Maintains the national standards for patient follow-up rates: current information on 80% of all living patients; 90% on living patients diagnosed within the last 5 years. Death Information Sources: routinely accesses electronic and hard copy sources of death information including obituaries, state death lists, internet web sites such as SSDI (Social Security Death Index), and other public databases to find the date of death.

• Monitoring: Reviews, analyzes, and collects specific study information for participation in National Cancer Data Base required quality studies and State Central Cancer Registry studies. Reviews and analyzes periodic edit reports from the NCDB and State Central Cancer Registry data edits for patterns, data entry/abstracting issues; resolves all edits for compliance.

• Cancer Program Activities: Record treatment recommendations and provide support for the Tumor Board. Review feedback from monthly 10% physician review of staff abstracting and makes necessary updates to cancer data bases for quality control.

Position Requirements

Credentials: Certified Tumor Registrar required

Education: Associate degree required

Other information:

• Advanced level of medical terminology. Completion of Anatomy and Physiology, basic Statistics and epidemiology. Oncology knowledge of the disease process, including standards of care; surgical, radiation, and systemic treatment regimens. Knowledge of the American College of Surgeons Cancer Program Standards. Coding Courses in ICD0-3, Standards for Oncology Registry Entry, AJCC TNM Staging, SEER Summary Staging, Solid Tumor Rules, State Cancer Collection & Reporting Manual. Ability to communicate effectively with tact and diplomacy with Medical Staff, Novant Departments, private physician offices and non-Novant facilities to obtain patient information and resolve staging issues.

• Computer skills in databases: data entry experience with Electronic Registry Systems Inc., Epic, facility anatomic pathology system, Radiology, Varian, Mosaic, and other e-records that become available.
