What You'll Do

Under the general direction of the Director, the Manager is a self-motivated individual with excellent leadership, communication, and organizational skills. Effectively and efficiently manages the daily operations of the practice billing/coding department, including record reviews (clinical pertinence) to assess completeness of information and provider educational needs. Works with physicians and professional staff to obtain any necessary clarification concerning diagnosis and procedures. Assists in recruitment, training and orienting new employees to the work area, schedules, policies and procedures. Understanding of coding and reimbursement guidelines is required. All work is carried out in accordance with the department's approved policies and procedures.

Responsibility II: Supervisory

• Manages all aspects of the billing and medical records departments for the practice. Provides training, mentoring, and direction to staff within the department; reviewing the work to ensure compliance with departmental policies and other applicable laws and regulations; identifies patterns of improper coding and resolves problems and issues.
• Reviews trends and identifies potential training needs and/or performance problems; develops and provides training on requirements including ICD-9 (ICD-10), CPT, HCPCS, Medicare, Blue Cross, and others; collaborates with Executive Director to ensure staff receives adequate training and to resolve any identified performance problems.
• Stays abreast of current issues and changes; documents and communicates changes to department staff and provides training as required.
• Educates physicians and other health care practitioners to improve accuracy of chart coding;
• Evaluates medical record optimize reimbursement, and ensure legal compliance and accuracy in billing and medical documentation for private and government programs; identifies areas that would permit enhanced reimbursement and reduce denials of claims.

Responsibility III: Medical Records

• Process medical records requests as required
• Oversees filing, charting, faxing and all other clerical functions as required
• Oversee time and payroll, including vacation requests, ensuring proper coverage is identified prior to approvals
• Serves as an internal resource on Health Information Management issues, including but not limited to release of information, confidentiality /privacy and security of personal health information, Medical Record Rules and Regulations, Federal/State guidelines and initiates corrective action to ensure resolution of issues as identified. Performs and reports research on topics related to Health Information Management and stays abreast of updates and changes.

Responsibility IV: Administrative

• Responsible for applying information on all insurance plans, correctly identifying and entering FSC in IDX system and training new hires accordingly
• Works in conjunction with NHRMC and CHS to structure, implement, and maintain, appropriate internal data collection and reporting systems to optimize management of payment systems.

Responsibility V: General Practice Duties
• Fosters appropriate utilization of human resources and supplies to maintain budget and provide quality service
• Attends mandatory educational sessions and department staff meetings
• Must have physical exam and annual TB skin testing as required by Employee Health
• PHI – refrain from discussing Patient Health Information in public in accordance with HIPAA guidelines and policies
• Assists in training other staff as needed and is willing to cross train
• Performs cash management protocols as assigned and ensures NHRMC PG offices are performing within guidelines set forth
• Adheres to company policy on continuing education programs, i.e. Annual HIPAA training and ensuring departmental staff comply
• Adheres to departmental dress codes as observed by director and wears picture identification badge, 100% of the time.

* Associate Degree

Other information:
1. Education: B.S degree or AA degree in Health Information Management preferred. Extensive knowledge of ICD-9-CM and CPT coding required. Medical terminology, clinical medical concepts, and Anatomy and Physiology required. In-depth knowledge of medical record content required. Knowledge of coding software a plus.
2. Licensure / Certifications: RHIA, RHIT, CCS, CCS-P and/or CPC preferred.
3. Experience: Five years in in an office practice or acute care hospital based setting required, coding/abstracting using ICD-9-CM and CPT-4 preferred.
Demonstrates standards of performance (ownership, teamwork, communication, compassion) that support patient satisfaction and principles of service excellence.
Performs other duties as assigned.
Individual will possess commensurate combination of education, experience and qualifications.
